In short

Aim Care Manager helps UK home care agencies stay ready for CQC inspection, from £15 + VAT per active staff member a month. Regulators don't approve software, but Aim is built around what the CQC inspects: its five key questions. Every change is logged in a full audit trail, each role sees only what it should, care plans are built on the CQC assessment framework, and live dashboards show where you stand on care, medication, people and visits.

What Is CQC Compliance Software?

In England, home care agencies are inspected by the Care Quality Commission (CQC) against five key questions: Safe, Effective, Caring, Responsive and Well-led. CQC compliance software keeps the records an inspector asks for complete, current and easy to find.

Software can't make an agency compliant on its own, and no regulator approves software. What it can do is make good practice visible. When care plans, medication, visits and staff records live in one system, with every change logged, you can show how you work instead of piecing it together the week before an inspection.

How Aim Keeps You Inspection-Ready

  • A full audit trail. Every record change, check-in override and approval is logged with who, what and when.
  • Roles and permissions. Carers, seniors, managers, finance and family each see only what their role allows.
  • Care plans built on the CQC framework. Aim drafts care plans on the CQC assessment framework, and your senior reviews and signs them, with version history.
  • Verified visits. GPS, QR and minimum time-on-site checks, with an override reason captured every time, and scheduled vs actual times side by side.
  • Safeguarding alerts. Care notes are checked for safeguarding language so concerns reach a manager fast.
  • People records. Right to work, DBS, training matrix, qualification expiry reminders and policies with acknowledgements.
  • Reports and dashboards. More than 20 operational reports and overview dashboards for care, medication, people and visits.

Evidence Against the Five Key Questions

The CQC decides what evidence it looks at. This is how the records in Aim line up with each key question.

Key questionRecords in Aim that help you show it
SafeeMAR with missed and late dose alerts, risk assessments, body maps and incidents, safeguarding language alerts
EffectiveCare plans and reviews, MCA, DoLS and consent, training matrix and qualification expiry reminders
CaringVisit notes in any language, Aim Rewrite for clear records, family portal updates
ResponsiveCare plan reviews, GPS-verified visits, scheduled vs actual times
Well-ledAudit trail, roles and permissions, 20+ reports, dashboards, policies with acknowledgements

Data Security You Can Show an Inspector

Care data is some of the most sensitive data there is. Aim is independently registered and assessed to UK standards:

  • NHS Data Security and Protection Toolkit: Standards Met for 2025-26 (v8), valid to 30 June 2027.
  • Cyber Essentials Plus: whole organisation, independently audited by Cyber Shelter and certified by IASME on 21 October 2026.
  • ICO registered: registration number ZC041418.
  • UK GDPR: a Data Processing Agreement is included with every plan.

Policies Mapped to the Five Key Questions

If you need policies too, Aim offers a policy library as an add-on to either plan, from £90 + VAT a month. It includes 173 domiciliary care policies, written for UK care regulators, mapped to the five key questions and kept current as legislation and regulation change.

Inspection-Ready Every Day

So far, every inspection at agencies using Aim, by the CQC and local authorities, has gone exceptionally well, with inspectors impressed by how easily the evidence is found. That isn't luck. With most systems, checks are manual and you set your own rules. Aim builds the checks in:

  • Audits run automatically. Records are checked every day, not the week before an inspection.
  • Care plans update instantly. A change made in the office is the version carers see on the next visit.
  • Visits are evidenced properly. Minimum time on site and real contact time are recorded, with proper care notes for every visit.
  • Carers write notes in their own language. Writing a good note is easy, so notes are complete and clear.

Why Agencies Move Compliance Into Aim

  • Gaps show up early. Missed doses and expiring qualifications raise alerts, instead of turning up at the next audit.
  • One place to look. Care, medication, visits and people records sit in one system, so evidence is quick to find.
  • Humans stay in control. Aim Assist asks before saving changes, and every agent action is logged under the permissions you set.
  • Not just England. Aim also works for agencies regulated by the Care Inspectorate in Scotland, Care Inspectorate Wales and the RQIA in Northern Ireland.
