What Is Care Rostering Software?

Care rostering software plans who visits which client, and when. In home care that means fitting hundreds of short visits around clients' needs, carers' availability, travel between homes and the rules on working time. Done by hand on a spreadsheet or whiteboard, a weekly rota can take days of office time.

In Aim, the rota sits in the same system as your client records, staff records and the carer app. Everything shares one record, so nothing is typed twice.

How Rostering Works in Aim

  1. Set up visit patterns. Add each client's regular visits once, or clone last week's rota as a starting point.
  2. Ask Aim Assign to plan. It groups clients into rounds by area, works out travel time on real road miles, and matches carers on continuity and preferences.
  3. Rules are built in. Working-time rules, double-up visits and runs are respected while the rota is built.
  4. Review the draft. Every choice comes with a plain-English reason, so you can see why a carer was picked before anything goes live.
  5. Publish. Once you're happy, publish the rota and carers see their visits in the carer app.

Visits Checked Against the Plan

Carers check in with GPS on the carer app, with QR codes as a backup, so visit times are accurate enough to bill and pay from. Aim reconciles scheduled against actual time automatically, and overtime and under-time are flagged before invoices and payroll are approved.

Every Round, Live

Once the rota is published, the office has a live view of every round. GPS-verified check-ins show which visits have started, and carers see the day's visits in the carer app.

Cover When Plans Change

Aim Assist can build a schedule when you type or say what you need. In early access, the Rota Agent finds cover, fills gaps and keeps rounds efficient. It matches skills and continuity, tells carers and families, and works inside the permissions you set, with every action logged.

Why Agencies Switch From Manual Rotas

  • Minutes, not days. Aim Assign plans thousands of hours of visits in minutes.
  • Less time on the road. Rounds are built on real road miles, not straight lines on a map.
  • Familiar faces for clients. Continuity and preferences are part of every match.
  • Choices you can explain. Each match comes with a plain-English reason, so you can answer a carer or a family who asks why.
  • You stay in control. The rota is a draft until you review and publish it.
  • One record. Leave and availability, new starters from recruitment, visit logs, invoices and payroll all share the same data, so nothing is typed twice.

Bringing Your Current Rota Across

Our team moves your clients, staff, visit schedules, templates and tasks from your current system, spreadsheets or paper as part of a fully managed switch that takes under 14 days.
